Welcome to Beyond Annual Leave! Please read these Terms and Conditions carefully before booking a trip, using our website, or engaging with our services. By accessing or using any part of our site or offerings, you agree to be bound by these terms. Please read this agreement carefully. If you do not agree with any part of these terms, you must not use our services.
1. About Us
Beyond Annual Leave curates and organises bespoke and group travel experiences that maximise your time off. We also partner with brands and businesses to deliver travel-based content creation, destination marketing, and team getaways.
2. Bookings & Payments

Booking Process: To secure your place on a trip, a non-refundable deposit is required at the time of booking. This confirms your participation and initiates the planning and preparation process.

Payment Schedule: Final payment deadlines will be clearly listed on each trip page. We will send reminders ahead of due dates.

Late Payments: If you do not pay your balance on time, we reserve the right to cancel your booking. In such cases, the deposit will not be refunded.

Payment Methods: We accept payments through secure online platforms. All prices are listed in GBP (£), unless otherwise stated.
3. Cancellations, Transfers & Refunds

Cancellation by You:

Deposits are non-refundable.

If you cancel more than 60 days before departure, you may be eligible for a partial refund of the balance (excluding the deposit).

Cancellations made within 60 days of departure are non-refundable.

We recommend purchasing travel insurance that covers cancellations due to illness, emergencies, or unforeseen events.

Cancellation by Us:

If Beyond Annual Leave must cancel a trip due to low enrolment, safety concerns, or unforeseen events (e.g. natural disasters, political unrest), you will be given the option of a full refund or credit toward a future trip.

We are not responsible for additional costs you incur due to a cancelled trip (e.g. flights, visas, insurance).

Trip Transfers:

In some cases, you may be allowed to transfer your spot to another person or another future trip, subject to availability and written approval.

4. Changes to Itineraries

We strive to deliver trips exactly as described. However, circumstances beyond our control (weather, transport delays, closures, etc.) may require us to alter the itinerary.

We reserve the right to substitute activities, accommodation, or routes without notice. Any changes will be made in your best interest and will not affect the overall value of the experience.
5. Eligibility & Requirements

All participants must be 18 or older unless the trip is explicitly designed for families or under-18s.

Participants must ensure they meet all entry requirements for the destination, including valid passports, visas, vaccinations, and other travel documentation.

It is your responsibility to ensure you are physically and mentally fit to join the trip. Please consult a doctor if you have health concerns.
6. Travel Insurance

Comprehensive travel insurance is mandatory for all travellers. Your insurance must cover medical emergencies, personal liability, cancellations, and lost or stolen items.

Proof of travel insurance may be requested before the trip departure.
7. Liability & Responsibility

Beyond Annual Leave acts as a travel curator and facilitator. We are not liable for injury, loss, damage, delays, or inconvenience caused by third-party providers or unforeseen events.

We are not responsible for incidents occurring during free time or optional activities outside the official itinerary.

You agree to participate at your own risk and release Beyond Annual Leave from any claims or liabilities unless caused by our direct negligence.
8. Code of Conduct
To ensure a safe and respectful environment, all travellers must:

We reserve the right to remove any participant from a trip for behaviour deemed unsafe, offensive, or in violation of this code. No refunds will be given in such cases.
9. Use of Media

By participating in our trips, you grant Beyond Annual Leave the right to use photos or videos captured during the trip for promotional purposes (including on our website, social media, and marketing materials), unless you notify us in writing before departure.

You may be asked to sign a media release form at the start of your trip.
10. Privacy & Data Protection

We respect your privacy. Any personal information you share with us (such as email, phone number, or passport details) will be stored securely and only used for purposes related to your booking.

11. Intellectual Property
All content on our website, including text, photos, videos, branding, and designs, is the property of Beyond Annual Leave and may not be used, reproduced, or distributed without written permission.
12. Force Majeure
Beyond Annual Leave shall not be held liable for failure or delay in performance of our obligations due to events beyond our reasonable control, including but not limited to natural disasters, war, civil unrest, pandemics, government restrictions, or technical failures.
13. Dispute Resolution
In the event of a dispute, we will aim to resolve the matter amicably. If no resolution can be found, the matter will be governed by the laws of England and Wales and subject to the jurisdiction of the UK courts.
