
Refund Policy
At Beyond Annual Leave, we know that plans can change. While we do our best to be flexible, many of our experiences require early planning, coordination, and non-refundable bookings with third-party partners. This policy outlines how refunds are handled for all our trips and services.
1. Non-Refundable Deposits
All deposits made to secure your spot on a trip are non-refundable. These funds are used to reserve accommodations, activities, and logistics, and are committed to our partners in advance.
2. Cancellation by the Traveller
If you need to cancel your booking, the following refund structure applies:

3. Cancellation by Beyond Annual Leave
If we are required to cancel a trip due to unforeseen circumstances (e.g. natural disasters, political unrest, illness outbreaks, or insufficient bookings), you will be offered:

A full refund, or
-
The option to transfer your payment to another upcoming trip
We are not responsible for any additional costs you incur, such as flights or third-party bookings, so we recommend travel insurance that includes trip cancellation coverage.
4. Trip Transfers & Replacements

In certain cases, you may transfer your booking to another person up to 30 days before departure (subject to our approval).

Transfers to future trips may be offered at our discretion, and may involve an admin fee depending on timing and availability.
5. Partial Attendance or Early Departure
No partial refunds will be given if you:

Miss part of the trip due to late arrival

Decide to leave early for personal reasons

Choose to skip certain activities
6. Custom & Private Trips
All private and tailor-made trips have separate cancellation terms, which will be clearly outlined in your proposal or contract. These trips often involve higher up-front costs, so refunds may be more limited.
7. Force Majeure
We are not liable to refund any payments in situations beyond our control (also known as “force majeure”), including but not limited to:

Natural disasters

War or civil unrest

Government travel bans or restrictions

Global health emergencies (e.g. pandemics)
8. Travel Insurance
We strongly recommend purchasing travel insurance that covers:

Trip cancellations

Medical emergencies

Lost luggage
-
COVID-related disruptions
Insurance protects both you and us from financial loss due to unpredictable events.
9. Refund Processing

Approved refunds will be processed within 10–14 business days.
